The short version
- Your meetings stay on your Mac. Transcripts, summaries and chats are saved as files in a folder you choose. Vuho's servers have nowhere to store them.
- Our servers know your email and your plan. Plus simple daily usage counts, so we can apply plan limits. That's it.
- Some features send content out briefly. When you use cloud transcription or ask the AI something, that audio or text goes to the service doing the work and comes straight back. We don't keep it.
- We never sell your data, and we don't use your meetings to train AI.

Who we are
Vuho is a meeting copilot for Mac, made by Minutes of Growth LLC ("Vuho", "we", "us"). This policy covers the Vuho app, the website at vuho.ai, and the Vuho account and billing services behind them.
Meetings are some of the most sensitive things a person has. They hold other people's words, not just yours. So Vuho is built to keep them on your Mac, and this policy explains the few cases where something leaves it.
What stays on your Mac
Everything Vuho makes from your meetings is stored on your Mac, in files you own:
- transcripts, summaries, notes, and your chats with the AI,
- the memory Vuho builds across your meetings (topics, people, decisions and open items),
- your settings and preferences.
You choose the folder. Each meeting is an ordinary note you can open, edit or delete without Vuho. If you put that folder in iCloud Drive, it syncs through your own Apple account, which we never see. Your sign-in token is kept in the macOS keychain.
Vuho doesn't keep recordings of your calls. The one exception is a safety net: if a piece of a call fails to transcribe, for example during an outage, Vuho keeps just that piece of audio on your Mac so it can try again, and deletes it as soon as it succeeds.
If you turn on the calendar feature, Vuho reads your Mac's calendar to show your upcoming meetings and to name a meeting and its attendees. It never changes your calendar, and your calendar is not sent to our servers.
What we collect
Your account
When you sign in, we keep your email address and a sign-in ID. We also keep your plan (trial, free or paid), when your trial started, and, if you subscribe, the customer and subscription IDs that link your account to our payment provider.
Usage counts
Each plan includes a daily allowance, so we keep daily counters per account: how many AI requests you made, roughly what they cost us, and how many minutes of cloud transcription you used. These are numbers only. They contain nothing you said or asked.
Payments
Payments are handled by Stripe. Your card details go to Stripe directly and never reach us.
Product analytics and error reports
The app and our servers send basic product analytics: which features are used, how long things take, and what kind of error happened when something breaks. These are linked to your account so we can help when you contact support. They never include transcripts, summaries, chat messages, or anything else said in your meetings.
The website
vuho.ai doesn't use advertising or tracking cookies. Like any website, our hosting provider processes your IP address and browser details to serve the page and keep it safe from abuse.
What leaves your Mac, and when
Some features need help from a cloud service. In each case, the content goes to that service only to do the job you asked for. It passes through Vuho's servers without being saved, and only a short note (which model, whether it worked, how long it took) is recorded for metering.
- Transcription. On recent versions of macOS, Vuho can turn speech into text right on your Mac, and on the free plan it always does. Call audio then never leaves your Mac. If you use cloud transcription instead, call audio is sent to our transcription provider (OpenAI), which sends back the text.
- Asking the AI. When you ask Vuho a question, or it writes a summary or updates its memory, the relevant part of the transcript and meeting details (such as the title and attendees) are sent to an AI provider (Anthropic or OpenAI) to write the answer. Some of this can run on your Mac with Apple's on-device model, in which case nothing is sent.
- Claude, if you connect it. If you connect Vuho to the Claude app, or use Send to Claude, Claude can read the meetings you ask it about, and that content goes to Anthropic under your own Claude account and its terms. Vuho's servers aren't involved, and nothing is shared until you connect it or click.
- Your own API key. If you set up Vuho with your own provider key, these requests go from your Mac straight to that provider under your own account and its terms, without passing through us.
Our AI providers' business terms don't allow them to train their models on what we send. They may keep it for a short time to detect abuse, under their own policies.
Services we rely on
We share data with these companies only so they can provide their part of Vuho:
| Provider | What it does | What it receives |
|---|---|---|
| WorkOS | Sign-in | Your email address and sign-in details |
| Stripe | Payments and subscriptions | Your email, payment details, billing history |
| Render | Hosts Vuho's servers and account database | Your account record and usage counts |
| Cloudflare | Hosts the website and app downloads | Standard web request details, such as IP address |
| OpenAI | Cloud transcription | Call audio, only when cloud transcription is on |
| Anthropic, OpenAI | AI answers, summaries and memory | The transcript text and meeting details needed for each request |
| PostHog | Product analytics and error reports | Feature usage, timings and error types, linked to your account. Never meeting content |
We may also share information if the law requires it, to protect Vuho or its users from fraud or abuse, or as part of a merger or sale of the business, in which case this policy keeps applying to your data. We don't sell or rent personal data, and we don't share it for advertising.
How we use your data
- to sign you in and run your account,
- to bill you and apply your plan's limits,
- to answer support requests,
- to find and fix problems, and to understand which features are useful,
- to send you important messages about your account or billing.
Where privacy laws such as the GDPR apply, we rely on providing the service you signed up for (your account, billing and the features you use) and on our legitimate interest in keeping Vuho working and improving it (analytics and error reports).
Other people in your meetings
Vuho hears everyone on the call, not only you. Because the transcript stays on your Mac, you are in control of it, and you're responsible for using Vuho in line with the laws where you and the other participants are. In many places that means telling people the call is being transcribed, or asking for their consent first.
How long we keep it
- Meeting content on our servers: not kept at all. On your Mac, it stays until you delete it.
- Your account: for as long as you have one. When you ask us to delete it, we remove it, except for billing records we must keep by law.
- Usage counts and analytics: kept while your account is active and used in aggregate after that, or deleted along with your account on request.
Security
Connections between the app, our servers and our providers are encrypted. Provider keys stay on our servers and are never sent to the app. Your meeting notes are ordinary files protected by your Mac account, and by FileVault if you turn it on (we recommend it). No system is perfectly secure, but keeping your meetings off our servers means there is far less to lose.
Your choices and rights
- Keep audio on your Mac by using on-device transcription.
- Delete a meeting in Vuho, or delete its file in Finder.
- Cancel your subscription any time from the plans page in the app.
- See, correct, export or delete your account data, or object to analytics, by emailing support@vuho.ai. We'll reply within 30 days.
Depending on where you live, for example in the EU, the UK or California, you may have further rights under local law, including the right to complain to your data protection authority. We honor these rights for everyone, wherever they live.
Children
Vuho is not meant for children and you must be at least 18 to create an account. If you think a child has signed up, contact us and we'll delete the account.
Where data is processed
We and our providers may process account data in the United States and other countries. Where the law requires it, we rely on standard safeguards, such as the European Commission's standard contractual clauses, for these transfers.
Changes
If we change this policy, we'll update the date at the top. If a change is significant, such as storing a new kind of data, we'll tell you in the app or by email before it takes effect.
